Minutes
The meeting was called to order by Ben. In attendance were Austin, Robin, David, John, Al and Bruce. Ben had proxies for Bob and Harvey.
Item 1 – Board approval for the new property manager commencing September 1, 2023. Ben explained the process the board went through including sending out bid letters to 46 companies. We received 8 responses. A committee consisting of Bob, Al, and Ben culled through the applicants and narrowed them to 4. These 4 were interviewed and scored, and the group was narrowed to 2. The 2 were asked for best and final pricing, and interviews were set up with the individuals who would manage our account on a 1 year basis. The monthly fee will be $2550 driven by the number of existing units. Pricing will increase in stages as more units are added. This will include 4 Board meetings, 5 virtual board meetings, 2 on site inspections per month and 1 annual meeting. David moved to approve Goodwin & Co. as the management company, Austin seconded and they were unanimously approved.
Item 2 – Developer Assistance Package to Beachside Village
The documents drafted include: 1) town architect process 2) management of contractors doing work for the HOA and 3) severe weather and storm assistance. This will be at no cost to us unless a management fee is payable due to amount of work/time consumed in storm management. Bruce moved to approve and David seconded. Motion carried with Austin abstaining.
Ben announced next quarterly board meeting is October 14. David moved to adjourn and Bruce seconded. Motion passed.
